Making a Request (The Process)

If you wish to request information from Nottingham City Council then please use the following procedure:

1. How do I make a request?

Personal Data

If you wish to request personal information about yourself (for example your Council Tax records or Social Services files) please send a signed letter to Information Governance, The Guildhall, Burton Street, Nottingham NG1 4BT. Your letter should include a current contact address, any names you have been known by and as detailed a description as possible of the information you require. Your request will be processed in accordance with the Data Protection Act 1998.

Other Information

If you wish to request other information (for example how much the Council has spent on agency staff or the number of parking tickets issued on a particular street) please send either a signed letter to the address above, or an email to information.governance@nottinghamcity.gov.uk. Your request should include a current contact address and as detailed a description as possible of the information you require. Your request will be processed either in accordance with the Freedom of Information Act 2000 or with the Environmental Information Regulations 2004.

NB – Environmental Information Regulations requests can be taken verbally, but a return contact address will still be required.

2. How will I know that you've received my request?

The Information Governance Section will send an acknowledgment to your contact address or email within 48 hours of receiving your request.

3. When will I receive the information?

  • If you have requested personal information, Information Governance will issue you a full response as soon as possible, and we have a statutory obligation to respond within 40 calendar days starting the day we received everything we require from you, in order to process your request. If we are unable for any reason to comply with this statutory requirement we will write to inform you of this, and explain why.
  • If you have requested other information, Information Governance will issue you a full response as soon as possible, and we have a statutory obligation to respond within 20 working days starting the day after we received your request. If we are unable for any reason to comply with this statutory requirement we will write to inform you of this, and explain why.

Occasionally some of the information requested will not be held by Nottingham City Council but will be held by another public body. Please click here to view information about how and when we will transfer requests.

4. Will I get all the information I ask for?

The Data Protection Act 1998, Freedom of Information Act 2000 and the Environmental Information Regulations 2004 allow information to withheld under certain circumstances - these are known as non-disclosure provisions.

The relevant non-disclosure provisions have to be looked at on a case by case basis, but we always aim to provide you with as much information as you are legally entitled to.

If a non-disclosure provision does apply, we will always inform you of what this provision is, what information we are applying it to and why you are not entitled to the information requested.

5. What do I do if I'm not satisfied with the information I receive?
